This SOP is designed to guide users on effectively managing outreach campaigns by combining lists and sequences in Apollo.io, facilitating personalized engagement with potential leads. The aim is to streamline the outreach process, ensuring efficient follow-up and task management.

This SOP is applicable to sales and marketing teams utilizing Apollo.io to organize and execute outreach campaigns. It is particularly relevant for managing multi-step, multi-week outreach campaigns that involve complex sequences and require consistent follow-up.
Procedure:
- Accessing and Utilizing Lists:
- Navigate to the search feature in Apollo.io and retrieve the pre-built list of target CEOs or other prospects.
- Review and prioritize prospects by adding more filters as necessary to refine the list according to current outreach priorities.
- Adding Prospects to Sequences:
- Select the desired contacts from the list and add them to an existing sequence for structured follow-up.
- Use the dropdown menu next to the contact's name to add them to the sequence, selecting the sequence previously created for CEO outreach.
- Confirm the sequence settings, ensuring the email is sent from the correct address and at the appropriate time.
- Managing Outreach Sequences
- Navigate to the 'Sequences' section to view and manage all active sequences.
- Monitor the status of added prospects and adjust the sequence settings as needed to optimize engagement.
- Using Tasks for Step Management:
- Go to the home page and access the 'Control Center' to find the 'Tasks' section.
Review tasks due for the current day, which includes all action items across various sequences.
- Utilize this centralized task management feature to keep track of all necessary follow-up actions and ensure no steps are missed.
- Personalizing and Scheduling Communications:
- When a task is due, Apollo will automatically populate the email template with merged fields based on the sequence settings.
- Before sending, manually add specific personalizations relevant to each prospect, such as comments on recent achievements or funding rounds.
- Use the scheduling feature to send the email immediately during business hours or delay it until the next available window if outside business hours.
